UBO Verification

As part of the establishment process for a new B.V. through the Digital Notary, it's crucial to verify the identities of all Ultimate Beneficial Owners (UBOs). Here's how the process works:

UBO Identity Verification

  1. Notification Email:

    • Each UBO will receive an email from the Digital Notary requesting them to verify their identity. This email will contain all necessary instructions and a secure link to the verification platform. The verification will happen via Onfido.

  2. Identity Verification Steps:

    • UBOs will be asked to provide personal identification documents to confirm their identity. This can include a passport or national ID card.

  3. Secure Submission:

    • The verification platform is secure and compliant with all relevant data protection regulations. UBOs can confidently upload their documents knowing their information is safe.

  4. Verification Confirmation:

    • Once the documents are submitted, the Digital Notary will review and verify the information. This process ensures compliance with anti-money laundering (AML) and know-your-customer (KYC) regulations.

Shareholder Environment for UBO's

  1. Separate Verification:

    • It is important to note that verifying the identities of UBOs is a separate process. UBOs will not be automatically added to the shareholder environment of the new company as part of this verification.

  2. Adding UBOs to Shareholder Environment:

    • If UBOs are to be added to the shareholder environment, this must be done separately through a formal process. The company will need to follow the proper procedures to officially recognize UBOs as shareholders of the new company, if applicable.

Keeping UBOs Informed

  1. Status Updates:

    • UBOs will be kept informed about the status of their verification through email notifications. They will receive confirmation once their identity has been successfully verified.

  2. Support:

    • Should UBOs encounter any issues during the verification process, they can contact the Digital Notary support team for assistance. The support team is available to help with any questions or technical difficulties.
