The Digital Notary uses Dropbox Sign (formerly known as HelloSign) for document sigining, which is a simple and secure way to electronically sign documents via email.
Here's a short guide on how to sign documents using Dropbox Sign:
Step 1: Receive the Email
Open the Email:
You will receive an email from Dropbox Sign with a link to the document that needs your signature.
Step 2: Access the Document
Click the Link:
Click on the link provided in the email. This will open the document in the Dropbox Sign platform.
Step 3: Review the Document
Read the Document:
Carefully review the document to ensure you understand all the contents before signing.
Step 4: Sign the Document
Add Your Signature:
Follow the prompts to add your signature. You may need to click on designated signature fields within the document.
You can draw your signature, type it, or upload an image of your signature.
Complete Required Fields:
Fill in any other required fields, such as dates, initials, or additional information.
Finish Signing:
Once all required fields are completed, click the βFinishβ button to submit your signed document.
Step 5: Confirmation and Download
Confirmation Email:
After signing, you will receive a confirmation email indicating that the document has been successfully signed.
Download the Signed Document:
You can download a copy of the signed document directly from the confirmation email or by logging into your Dropbox Sign account.
Multiple Directors
Second Director Signature:
If the company has multiple directors, each director will receive a separate email with a link to the document.
Both directors must follow the steps above to sign the document. The document will not be considered fully executed until all required signatures are obtained.
Notification of Completion:
Once all directors have signed, each will receive a confirmation email, and the signed document will be available for download.
Automatic Document Saving
Automatic Upload:
Once the document is fully signed by all required parties, it will be automatically saved and uploaded to the shareholder environment.
Access for Directors:
The uploaded document will be accessible to the directors through the shareholder environment, allowing for easy access and management of important documents.
